A PandaDoc alternative, compared honestly
We make a competing product, so treat this page with the scepticism it deserves. What follows is our genuine read: PandaDoc is a good tool, it beats us outright in several areas, and for a lot of teams it is the right answer.
The short version: PandaDoc is a document platform that does proposals. ProposalBuild is a proposal tool that reads RFPs. That difference explains almost every other difference, including the ones that go against us.
Where we are different
Upload the RFP and we extract the requirements, deadlines and evaluation criteria into a checklist, then draft sections against them. This is the thing we built the product around, and it is the clearest difference between us.
No card, no trial clock. If you send up to 5 proposals a month, you can use ProposalBuild indefinitely without paying.
Unique visitors, scroll depth, time per section, engagement score — so your follow-up is based on what they actually read.
Switch between client brands or workspaces without logging out. Built for freelancers and agencies who run more than one book of business.
Where PandaDoc is genuinely better
Not a throat-clearing exercise before the sales pitch. These are real reasons to choose them over us — if any of these three matter most to you, PandaDoc is the right call.
Contracts, quotes, invoices, NDAs, HR paperwork — one system for all of it. We only do proposals. If your team is juggling four document tools, PandaDoc collapsing them into one is worth more than anything we offer.
Native integrations with Salesforce, HubSpot, Pipedrive and Monday.com, plus payment collection (Stripe, PayPal, Square and others) in the same window the client signs. If your sales process lives in one of those CRMs or you need to get paid on signature, this can decide it.
Multi-step internal approvals, granular team permissions, and SOC 2 Type II, HIPAA and GDPR coverage built up over years. Our permissions are simpler and we are newer — on a regulated or high-value contract, that history is worth weighing.
Pricing
As of 2026-07-17, PandaDoc lists a Free tier (60 docs/year), Starter at $19/seat/month, Business at $49/seat/month, and custom Enterprise pricing — see their pricing page for current figures, since these change. Our own plans are listed on the pricing section.
So which should you pick?
- You send contracts and invoices, not just proposals
- Your process runs through a CRM you need it to talk to
- You need to collect payment inside the document
- A manager has to approve documents before they go out
- You respond to RFPs and reading them is the slow part
- Proposals are most of what you send
- You want to start free, without a card
- You run several client brands from one login
If you build websites for a living, the web development proposal software page covers the workflow specifically, and the web development proposal template is free to copy whichever tool you land on.
Common questions
Yes — the free plan needs no credit card and does not expire. It includes 5 proposals a month, with AI generation and analytics included. You upgrade when the volume stops fitting, not when a trial runs out.
Only if proposals are the bulk of what you send and the RFP reading is the slow part. If you also run contracts, invoices and HR documents through PandaDoc, or your team depends on its CRM integration, switching to a proposal-only tool is a downgrade. We would rather you stayed than churned in a month.
Yes, clients can sign without leaving the proposal page. PandaDoc has been doing signatures far longer, and for high-value contracts that maturity is worth weighing.
